SAP’s Digital Energy Strategy

The Energy Sector is dynamic and fast moving. Digital disruption impacts all lines of business, bringing with it opportunities and challenges.

Utilities especially have been affected by the expansion of renewable energy, advancements in distributed energy resources (DER), new customer engagement behavior and disruptive business models accelerated by the Internet of Things (IoT).  Technology can help enable changing business models and processes moving forward. Inspire and shape a digital strategy powering the next generation.  Mr. Maier will present SAP’s digital energy strategy discussing how SAP is helping companies transform to the next generation of S/4 and cloud-based solutions.

Taking the Digital Transformation Journey Down Under

TasNetworks just went live with the first phase of their digital transformation journey leveraging S/4 HANA. The implementation of an integrated business solution is one of the company’s ‘must deliver’ strategic initiatives aimed to fully align and integrate TasNetworks’ processes and systems, with a focus on core business systems, including:

  • asset planning, operation and lifecycle management,

  • works management and service delivery,

  • procurement and supply chain management,

  • financial performance management,

  • human resource management and payroll, and

  • governance, risk and compliance management.

By removing duplicate systems, having one source of truth for data, having consistent processes and ways of working, and supporting delivery of effective and efficient services both internally and externally to customers, it is bringing benefits in:

  • simplified businesses processes, underpinned by a single, enabling IT platform,

  • assistance in driving an uplift in capability, highlighted by new skills, processes, tools, and systems, and

  • provision of greater analytical rigor and capability “that means we can better measure what counts”.

Collaborate to Reduce Costs & Increase Reliability with the SAP Asset Intelligence Network

The transition to the digital economy and the increasing adoption of new technologies such as the Internet of Things (IoT) and cloud-based networks provide an opportunity to automate data exchange and enable a simplified collaboration model among manufacturers, dealers, service providers (including EPC’s) and operators of assets. SAP leads the next wave of asset management innovation by bringing the asset ecosystem partners onto a single cloud-based collaborative network platform called SAP Asset Intelligence Network.

SAP Asset Intelligence Network is a central hub that serves first as a global register of the equipment in an extended ecosystem. Each asset element has a unique ID that authorizes the publication of and subscription to content on the network. Now visualize a host of applications running on this collaborative platform to simplify maintenance and enhance cooperation for complex tasks.

Albere will share United Energy’s involvement in the SAP Asset Intelligence Network, why they signed up to the beta program and what they intend to get out of it.

DTE Energy for Everyone: Experience the Customer Innovation Journey in Motor City

Major system implementations have a huge impact on the productivity of organizations. At DTE Energy, we compared replacing our billing system to having a heart transplant. The disruption is especially pronounced in the contact center.  Average speed to answer, average handle time, and customer satisfaction can take significant hits during launch. A comprehensive risk mitigation strategy can minimize the productivity and customer satisfaction impacts.  DTE implemented a change management program that included surge staffing, extensive training, a change network, hyper care and a command center.  We fostered a culture of “no victims or bystanders” where our Business Process Owners were involved and signed off on each step in the project. In the first week’s post go live, our change management program minimized the disruptions that our new billing system created.  DTE Energy achieved pre-go live metrics in their contact center in the first week post go live.

Panel Discussion: Managing Change Through an AMI Roll Out

An AMI implementation brings about disruptive changes to the utility company and its stakeholders.  Three utility companies that have implemented AMI— Southern California Edison, Puget Sound Energy & Sacramento Municipal Utility District—share their experiences to help smooth out the journey for others that follow.

Some discussion topics include the following:

  • How did your organizational structure change with the implementation of AMI?

    • Which group or department owns metered data collection and validation responsibilities within your company – Billing, Metering, etc.?

  • What’s your approach, experience, and learnings with opt-out?

  • What’s your strategy for leveraging AMI data to improve the customer relationship (especially around web interactions)?

    • What are your key learnings in this area?

    • How much has it reduced calls, improved customer satisfaction scores, etc.?

    • Do you show only VEE’d data?

  • What use cases have you implemented?

  • What’s next on the horizon in terms of value extraction and business case realization?

Key Business Results:

  • Improved customer service quality

  • Streamlined operations

Delivering Efficiency & Cost Saving through Field Force Enablement at Xcel Energy

As part of their enterprise wide business transformation program, Xcel Energy moved its field workforce from paper based processes to a mobile solution utilizing SAP Work Manager, ClickSchedule, and GIS/Mobile Mapping. The challenge was the 5,500 field workers (employees and contractors) were in 5 different Business Units (Generation, Nuclear, Transmission, Distribution and Gas Engineering Operations) across 8 states and had varying degrees of exposure to mobility and utilizing different business processes to execute their work.
The solution delivered was a single mobile platform that would work for all employees – from the service technician who interacts with the customer to the nuclear engineer who needs a comprehensive electronic work package to perform details operations in a protected area.  In addition to a unified technology solution, Xcel Energy developed a comprehensive end user engagement program to involve employees in all aspects of the program from early process design, build, testing, device selection, bargaining unit engagement and training to drive engagement, standardization and adoption.   This session will provide an overview of the scheduling and mobility technical and business solution, lessons learned managing remote devices, and the change management program designed to enable a diverse workforce with new technology.

They are informed/alerted when emergencies arise or schedules are changed to address more time sensitive customer calls and improving customer service.

  1. Strong Business Leadership and Engagement – Business Leaders from the EVP level to Field Supervisors aligned to the vision and provided the same case for change and key messages to field workers. Involving the field users early and through the process drove a high level of engagement and adoption for the mobile solution.

Unlock the Potential of Cloud & Mobility with Digital Customer Engagement & Proactive Communications

City of San Diego (COSD), with a growing customer base, faced a stiff challenge of engaging with their customers in real-time. Customers desired a better service to connect digitally with COSD. With growing sustainability pressures and customer expectations redefining their customer relationship, this became a top objective for COSD to increase customer satisfaction and operational efficiency.

COSD implemented Smart Customer Mobile (SCM®), a customer engagement mobile and cloud platform integrated with SAP to facilitate real-time two-way communication with customers through digital channels enabling customers to gain insights about their current consumption patterns. SCM® has helped COSD in improving their customer behavior through frequent leak alerts, outage alerts, payment reminders and providing them self-service capabilities such as paying bills, submitting service requests, water reports, rebates and programs, track usage and compare their usage with similar households. They could easily push timely notifications and alerts on mobile based on current and future outages to the customer on their portal and mobile devices, which reduced their customer calls and call center cost drastically. The built-in cloud analytics platform also helped COSD in transforming their business processes and identifying customer behavior, along with being able to monitor customer targeted campaigns, manage water conservation programs and increase participation in their sponsored water saving programs.
Oklahoma Gas & Electric (OGE) serves more than 700,000 consumers and engaging with them was a high priority for the utility. They needed a solution that would enable a notification preference, facilitating a seamless communication between the utility and its customers. This was the perfect preset to deploy a solution that would not only improve the service levels but will boost customer engagement by providing real-time alerts and notifications.

After appropriate analysis, OGE deployed SCM® that allowed the utility to send alerts and notifications through their preferred mode of communication. Using SCM® and SAP technology, OGE could easily send notifications to their customers about their real-time and historic usage, the pending bills (amount and due date), payment receipt, planned & unplanned outages, savings tips & program recommendations.   The frequent alerts and awareness about programs, helped OGE customers become more proactive and increase their engagement with the utility.  Further, the notifications about usage comparison option went a long way to further augment the lifestyle changes wherein customers started making better choices and informed decisions with regards to their energy and water consumption. The cloud and mobile platforms are allowing utilities to implement the technologies to proactively communicate with their customer in real time. Thus, SCM® in conjunction with the SAP integrated platform, not only delivered on keeping the customers informed and connected with the utility, but, also improve the service levels. The resultant being improved customer experience and higher satisfaction.

Key Business benefits:

Hydro One Amps Up Their Finance Process with BPC

Hydro One is the largest electricity Transmission and Distribution company in Ontario, and in late 2015 its sole shareholder, the Province of Ontario, sold approx. 30% of the shares in the company via an IPO on the Toronto Stock Exchange.  As an equity issue, Hydro One has been looking at best practices to reduce the time to close the books and complete quarterly securities filings.  Additionally, the company has been making acquisitions of small Electricity Distribution Companies in Ontario, with future acquisitions potentially being large companies in North America or globally.

One part of streamlining the close process was the implementation of BPC for consolidations.  Previously, financial statement consolidations were completed manually via spreadsheets, but due to the changing corporate structure from the IPO, and acquisitions, reliance on a manual process was becoming more complex and unmanageable.  The BPC project was given a short timeline to complete, and had to be in service by October 2016 so there could be 2 months of parallel close reporting before year end.  Post IPO, the financial reporting requirements for the company were changing, and BPC was designed with the flexibility to meet these changing requirements. Additionally, the BPC project was reliant on another Hydro One project – moving our BI/BW platform from Oracle to HANA (we were implementing BPC 10.1 on HANA), that had to be in service before the BPC project in service date.

Key Takeaways:

  • Streamlined the financial close and consolidation process - manual consolidation process was previously taking approx. 2 days

  • BPC configured to give the company flexibility to incorporate future acquisitions into the monthly financial consolidation and close process

  • Significant decrease in reporting time by automating some key reports that were previously completed manually. One example - fixed asset report previously time to complete 7 -8 hours, now seconds to run and more time to validate

Think Big, Start Small, Scale Fast: Innovating in the Age of Acceleration

The future belongs to those who are fast! That's the mantra of futurist Jim Carroll -- and no where has this become a reality faster than in the world of utilities. There is no doubt that the next phase of the world of energy involves the convergence of a variety of trends, each of which is significant on their own, but combined, provide an opportunity for massive disruption -- and opportunity. The era of massive hyper-connectivity at an industrial, commercial and residential level as a result of the acceleration of the Internet of things. The rapid advancement of energy science, particularly with battery storage, alternative energy sources and other leading edge technologies. Business model disruption through the fast arrival of technologies that support personal and local energy energy microgrids through backyard wind, solar, biomass and other forms of energy generation. New demand and infrastructure requirements arising from such significant trends as smart cities, self-driving cars and intelligent highway infrastructure. And then there are simple light poles -- which are now becoming 'fitbits for cities' with embedded environmental sensors, car-charging technologies, Wi-Fi hotspot capability and traffic management technologies! But wait -- there's more! At M.I.T. they are even in the midst of research as to how to grow solar cells from plants! That's why no less than the Edison Energy Institute has stated that going forward, "“The threats posed to the electric utility industry from disruptive forces, particularly distributed resources, have serious long-term implications for the traditional electric utility business model and investor opportunities.”

FirstEnergy Builds 'SmartMart' on Hybris Platform

Rick Charles from First Energy Products (FEP) will share his experience in selecting, implementing and running the SAP Hybris suite including yCommerce, yMarketing, yBilling, and C4C. FEP is a non-regulatory retail arm of FirstEnergy. Its mission is to earn new revenues beyond the utility bill, by developing and selling innovative products for FirstEnergy. FEP needed an information system to run its ecommerce and billing solution in a way that they could efficiently manage and scale their business. FEP chose and implemented the SAP Hybris suite because it met all the commerce, marketing, contact center, and billing needs as well along with out of the box integration tools to connect with FirstEnergy’s ERP system. FEP’s website/on-line store ‘SmartMart’, internal call centers, and business operations are now using the Hybris suite to introduce products to market quickly and manage the sells to billing solution with minimal IT involvement.

In June 2017 FirstEnergy rolled out ‘SmartMart’ after a 6-month implementation. FEP created the new site utilizing standard yCommerce product catalog and shopping cart functionality. Because the marketing and Contact Center are also built on the Hybris suite, the integration leveraged the out of the box middleware tools to communicate customer and order information to all modules in real time. Furthermore, the Hybris Billing module was used to integrate orders with utility invoices to provide both ‘on-bill’ and ‘off-bill’ payment options to customers.

Key Business Benefits:

  • Used a single integrated software solution for Commerce, Contact Center, Marketing, Order Fulfillment, and Billing

  • Cloud based and simple configuration allow for Maintenance of the system with minimal IT involvement

BC Hydro Showing Canada How Complex Supply Chain is Done

A strong supplier relationship is critical to the ongoing management of BC Hydro operations and delivery of capital projects. Prompt payment is a foundation of a strong and mutually beneficial supplier relationship.   BC Hydro’s invoice processes invoices inefficiently which results in 40% of invoices being paid late, higher than average cost per invoice, missed opportunity for early payment discounts, and likely higher unit costs as suppliers compensate for slow payments.

BC Hydro kicked off a pilot program on the Ariba Network, a cloud-based B2B marketplace where buyers and suppliers can do business within a single, networked platform. It turns out that managing orders and invoicing over a business network in the cloud has achieved paying suppliers on time by 95%. In addition, BC Hydro is saving $1 million a year in accounts payable costs, and is also finding opportunities to cut spending through dynamic discounting over the network.

Key Business Benefits:

  • Paying suppliers on time

  • Cost Savings

  • Stronger Supplier Relationships

The Xcel Energy Journey: Deploying SAP as More Than IT Project

When key leaders at Xcel Energy originally presented the idea for an enterprise SAP program, they were told to go “back to the drawing board” and only return when they had business support for a broader transformation effort.  Nearly 4 years and multiple business unit deployments later, the original principles of what became the PTT program remain:  Enterprise Led, Employee Driven, One Xcel Energy Way.  Business leaders stepped up and provided strong leadership (vision, presence, engagement, involvement and coaching), active participation in governing bodies and worked hand in hand with the IT organization to drive their success.

This session will explain how Xcel Energy developed and maintained strong business engagement and commitment over their multi-year transformational change program.  It will describe how top leaders were engaged and leveraged to support enterprise priorities, explain how “the science of change management” enabled tangible outcomes at the front-line level, describe the process by which business outcomes were formalized, and share lessons learned in readying a diverse organization to respond on Day 1 and beyond. This session will also describe how Xcel Energy is planning to leverage the new capabilities of the organization for continuous improvement and future transformation initiatives.

Key Business Benefits:

  1. Ownership and Accountability of the Business Case – by setting out early to make this a business-driven program, leaders in all business units were very aware of the outcomes that were committed as part of the program and felt ownership to deliver.

  2. Business / IT Partnership – while the program was business driven, a solid partnership with IT and their Implementation partners was essential. IT had a seat at the table in working with the business to design, implement and sustain the new processes and the SAP solution as an enterprise system.

  3. Breaking down Silos – Xcel had various Business Unit silos with different processes and technology. The move to SAP was designed to drive One Xcel Energy Way across the enterprise. In driving Business Unit ownership, silos began to break down and BUs collaborated for the good of the company to share best practices, lessons learned and help to support new users as they went live with the new processes and technology.

Insight without Disruption: How E.ON is Leveraging Customer Service Reporting in Real-Time

Real-time information is vital for customer service to quickly respond to multiple types of service requests from different channels. With real-time information about the most recent customer requests within an CRM system, you can staff people quickly to the requests/issues that are most crucial at that specific time. If you have many customer request per day, it is even more difficult to provide the needed information on time.

E.ON is one of the biggest energy suppliers in Europe with a customer base of millions of points of delivery. For E.on, it was crucial to have a real-time data delivery from two SAP CRM systems (on Oracle databases) for self-services and a management information system. To achieve this, an SAP BW-on-Hana system was built in a greenfield approach. While providing real-time data from the SAP CRM Systems via SAP HANA Smart Data Integration (SDI), the solution fits the business requirements for a fast analysis and a real-time data acquisition.

SAP Lumira is providing the front-end for BI Self Services and a Management Dashboard. The goal is to connect other systems to provide real-time data for analysis as well as Big Data analytics.

Key Business Benefits:

  • Real-Time information that is crucial for seamless customer service

  • Big Data readiness and analytics

  • Predictive analytics to be able to precisely forecast customer demand

The Great Cloud Migration: How an IOU, a Muni and a Privately-Held Utility are Using the Same Template to Move their CIS Systems to the Cloud

The move to the cloud is underway. Beyond peripheral systems, utilities are moving their core CIS technology to the cloud (as well as ERP and EAM). In this session, three very different utility types will share their decision-making process, and how risk reduction and simplifying ongoing operations factored into it. On our panel: a small, privately owned electricity provider (Sharyland Utilities); a municipal water and wastewater utility (DC Water); and a large investor-owned utility made up of 69 generation and gas, electric, water and wastewater distribution utilities (Liberty Utilities).

Each of these utilities are, or will soon be, running on the same cloud-based platform, and using the same template to migrate over.

Cloud naysayers have poked holes in the ability of a template to allow utilities to customize the CIS platform for their unique needs. But our presentation will show that a template CAN be modified, and work for all types of utilities, ultimately saving the utility precious time and money, and reducing implementation risks in the process.

Key Business Benefits:

  • Learn what key drivers compelled these 3 different utilities to select a cloud-based CIS

  • Hear the considerations they had about moving to the cloud

  • Find out why a “customized template” is not an oxymoron

Increased Efficiencies Though Mobile SAP/GIS Integration

Hydro One, Ontario’s largest electric utility, is in the process of a major business transformation project called Move to Mobile (M2M).  This initiative includes upgrades to major business systems including SAP, PCAD, Telematics, and GIS.  The most impactful and visible change is the addition of SAP’s Work Manager for distribution line crews.  The mobile solution includes robust GIS integration allowing field workers to see all notifications and GIS layers on a map, create new notification from the map, and take GIS data offline.  The integration of GIS into Work Manager is also transforming the way line crews capture information about assets they are putting in service.  The current process is paper-based and edits are captured as notes on the design.  This process takes 3-6 months to complete and causes data divergence between SAP and GIS.  The new process will allow the line crews to visualize and edit designs on a map, with edits getting back to GIS for QA/QC in days not months.

Key Business Benefits:

  • Working Smarter| Viewing assets on the map enables field workers to see assets in their true location relative to connected assets and customer locations. Crews avoid unnecessary trips to assets that don’t require maintenance and they can see other crew locations on the map for better coordination and mutual aid.

  • Better Information| GIS and SAP data is synchronized nightly and delivered via Critigen’s Geocache Manager™ as an offline cache to the mobile device, allowing workers to click on the map for timely asset information. An enhanced “As-Built” editing tool allows workers to update electrical asset information during installation, resulting in better data governance, improved latency and safety.

  • Saving Time| With a single application for mapping and work, crews spend less time on the screen and more time installing and maintaining electric assets. Office workers spend less time re-keying information from paper forms, with a 6-month reduction in processing time.

Standardizing Processes with Ariba Suite

Puget Sound Energy (PSE) has had a challenge with a long-established process for service contracts.  With increasing outsourced activities, it has been difficult to meet the needs of the organization’s work groups and ultimately its customers.  Now, PSE is embarking on the implementation of Ariba software products.  During this implementation, one objective is to streamline and standardize the service contracting process.  The plan is to learn the out-of-box methods for requesting, sourcing, contracting, and payment processing, which will allow the procurement department to more efficiently provide contract and source visibility for its work groups.

By providing improved visibility and access to approved contractors through Ariba, it will reduce the tendency for maverick spending and/or commitments to contractors without properly conducting sourcing events and utilizing consolidated service contracts.

Key Business Benefits:

  • Spend visibility for easier category spend analysis

  • Cost savings through consolidation by category

  • Improved access to contract information for users
